Define the area and the reason for cover
Name the part of the premises that needs to be covered and explain its business purpose in simple terms. State whether the assignment relates to access, observation, a temporary site activity or cover for an existing post.
Avoid vague descriptions such as “watch the building” if the requirement concerns one defined area. The brief should make the physical and operational boundaries clear, while keeping sensitive plans or access details within the site’s approved handover process.
Set exact start and finish times
Give the date, arrival time, briefing time, start time and expected finish. If another employee or contractor will take over, identify when that handover is due and who is responsible for it.
If cover is required across midnight, use both calendar dates. Say whether the area will be active throughout the shift or whether activity changes at known times.
List the agreed duties
Describe what the person should do during the assignment. This may include maintaining a presence in the agreed area, following the site’s authorised access process, keeping a routine record or reporting matters to a named contact.
Also state what is outside the role. For example, the assignment should not quietly expand to cover unrelated parts of the premises or duties that were not included in the original request.
Provide the site’s authorised access process
The worker needs a clear way to confirm who may enter the area and who can approve an exception. The initial enquiry can describe the process at a high level. Names, codes, keys and detailed access information should be provided securely after the assignment is confirmed.
If different groups use the area at different times, make that clear in the on-site briefing. The site remains responsible for keeping its authorised information current.
Name the people who can make decisions
Provide a primary site contact and a backup contact for the hours being covered. The person on duty should know who can answer a question about access, site operations or a change to the brief.
Contact arrangements should reflect the actual shift. For evening or overnight work, confirm that the nominated contact will be reachable during those hours.
Agree how routine matters are recorded
Explain whether the site uses an occurrence book, handover note or incident form. Keep the reporting requirement proportionate to the assignment and make clear where the record should be left at the end of the shift.
A short end-of-shift handover can confirm the hours covered, any matters passed to the site contact and whether further action belongs with the business.
